Reservations

Reservations are made on a first-come, first-served basis.  Reservations should be made as far in advance as possible, but no more than a semester in advance, to ensure availability of the rooms.

There are three types of reservations that may be requested, 1) regularly scheduled club practice time, 2) Fundraiser, 3) One time meeting/event (not a fundraiser).

Regularly Scheduled Club Practices

Joseph Edward Gallo Recreation Center.  These reservations must be requested two weeks prior the first requested meeting date and are only valid for one semester.  The entire gym is not available for reservation for regularly scheduled practices.

No reservation fees or rental charges will be incurred for these reservations.

Fundraiser

A fundraiser is classified as any event where admission, beyond club dues, is charged for the participation in the event.  Whether or not a profit was made does not factor into this policy.

UC Merced Clubs that are currently registered and in good standing with the Office of Student Life may reserve this space for a fundraiser.  This reservation request must be submitted at least 30 days in advance of the event.

There are fees associated with the use of the Gym for fundraisers.  The costs are as follows:

○ Reservation Fee $25/per day

○ Direct Labor Costs $11/per person per hour.

Direct Labor costs recover the costs of Campus Recreation Staff to provide service associated with this event.  These can range from room set up, trash removal, supervision of the facility if outside of operating hours.  Direct Labor Costs will be estimated and provided to you prior to your event approval.

Special requirements may be put in place for non-UC Merced students, and/or faculty and staff who are not members of the Gallo Recreation Center to attend this event.  This includes both spectators and participants.

Only one fundraiser per semester may be reserved per space.  Approval of the reservation and event in the requested space is subject to the approval of the Campus Recreation Director.

One Time Meeting (non-fundraiser)

UC Merced Clubs that are currently registered and in good standing with the Office of Student Life may reserve this space on a one-time basis for club meeting/event.  This meeting/event can be no more than 2 hours in length.  All members that attend these events must be currently enrolled UC Merced students or faculty and staff that are members of the Joseph Edward Gallo Recreation Center.  These reservations must be requested two weeks prior the requested meeting date and only one reservation per semester is permitted.

Occupancy

Maximum occupancy of the Gym varies based upon the set-up and type of event.  Contact the Campus Recreation office for further details.

Audiovisual and Information Technology Support

This space is equipped with an audio system that may only be used with permission and supervision of the Campus Recreation Staff.  The room is also equipped with wireless data capability.  The Campus Recreation Staff does not provide support for wireless data service in the building.

Set-up and Clean-up

Set-up and clean-up must be considered in the time requested for the reservation.  If the requested event lasts beyond the normal operating hours for the Recreation Center, the client will be charged for staff time to supervise clean-up.  Complex event set-up may require Campus Recreation staff to conduct and/or supervise the set-up.  The client will be billed the appropriate hourly recharge rate for this service.

Access to the Recreation Center

The Gallo Recreation Center is a limited access facility.  Access is granted to fee paying students and faculty and staff membership who hold a current Campus Recreation membership.  The public entry for events in the Gym is the northwest doors facing Muir Pass.  Using any door that is marked as an emergency exit without the permission of the Campus Recreation staff may result in termination of your current reservation and/or restrictions placed upon further reservation requests in the Recreation Center.
